Document360 Search Not Working? Why Enterprise Knowledge Base Search Still Has Gaps

September 10, 2026
•7 min read

Document360 has one of the best search experiences for a dedicated knowledge base. Full-text search, AI-powered answers, version history. It is genuinely well built for what it does.

The limitation teams hit is not Document360's fault. It is structural: Document360 can only search Document360.

When a customer files a ticket that references an edge case, the answer is rarely in the KB article. It is in the Slack thread where your support lead discussed the workaround last month, the Jira ticket that tracked the original bug, or the GitHub PR that shipped the fix. Document360 cannot reach any of those.

What Document360 Search Actually Covers

Document360 indexes:

  • All articles in your knowledge base, including drafts
  • Versions of articles across your publishing workflow
  • Structured content across categories and folders
  • Embedded media and attachments (text-extractable files)
  • Contributor activity logs and revision history

This is strong coverage for one tool. If your team's knowledge lived entirely in Document360, the search would be close to complete.

The 5 Gaps Teams Run Into

1. Pre-KB decisions in Slack. Most companies run Document360 alongside Slack. The discussion that led to a KB article (the edge cases, the customer objections, the workarounds) lives in Slack threads, not in the published article. Document360 search returns the article. The context behind it is invisible.

2. Linked Jira and GitHub content. KB articles often reference tickets and PRs ("see issue #4821 for the original spec"). Document360 cannot search the contents of those tickets or pull requests. Teams searching for a specific implementation detail are forced to switch tools manually.

3. Onboarding gaps. New hires use Document360 as their starting point. But the answers to real questions (why was this designed this way, what broke in production last year, who is the right person to ask about billing edge cases) are in Confluence pages, old Notion docs, or Slack archives that Document360 never indexed.

4. Customer-facing vs. internal knowledge. Document360 is often used for customer-facing help docs. Internal knowledge lives in a different tool: Confluence, Notion, Slab. When a support agent needs to cross-reference both, they are doing two searches in two systems.

5. Real-time updates. If a product change happens today and the KB article has not been updated, Document360 search will return the stale version. The current state might be in Slack ("heads up, the export flow changed in today's deploy") but Document360 has no awareness of that.

What Teams Do Instead

Teams that have hit these gaps tend to fall into one of three patterns:

Pattern 1: Accept the limitation. Support agents keep a browser tab for Slack search, another for Document360, another for Jira. Context-switching is the cost of doing business.

Pattern 2: Cross-post everything. Important Slack decisions get copy-pasted into Document360 articles. This works until it does not. Someone forgets to update one of the three places and the information diverges.

Pattern 3: Add a cross-tool search layer. The KB stays in Document360. But a search tool that can reach Document360, Slack, Jira, GitHub, and Notion simultaneously gives agents a single place to search everything. Document360 becomes one source in a broader index rather than the only source.

The Cross-Tool Gap

Document360 search is designed to answer: "What does our KB say about this?"

That is not always the question. The actual question is often: "What does my team know about this?" The answer might be in Document360. Or in Slack. Or in a Jira ticket that nobody closed out. Or in a Notion page from before the company started using Document360 at all.

Cross-tool search does not replace Document360. It adds the other sources Document360 was never designed to cover.

| What you're searching | Document360 | Cross-tool search (AskOro) |

|---|---|---|

| KB articles | ✅ Indexed | ✅ Included |

| Slack threads | ❌ No | ✅ Yes |

| Jira tickets | ❌ No | ✅ Yes |

| GitHub PRs | ❌ No | ✅ Yes |

| Notion pages | ❌ No | ✅ Yes |

| Confluence docs | ❌ No | ✅ Yes |

| Natural language queries | ✅ AI answers | ✅ AI answers |

| Cross-source context | ❌ No | ✅ Yes |

How Teams Use Both

Document360 stays as the customer-facing and internal KB for structured articles and help content. AskOro connects Document360 alongside Slack, Jira, GitHub, and Notion and makes everything searchable from one query.

A support agent asking "what changed in the export flow last week" gets results from the Document360 article, the Jira ticket tracking the change, and the Slack message where engineering confirmed the deploy. One search. Three sources. No tab-switching.

A new hire onboarding asks "why do we use Document360 instead of Confluence" and gets the original Slack discussion where the decision was made, the Notion doc comparing the options, and the Document360 article that summarized the outcome.

Getting Started

If your team uses Document360 alongside Slack, Jira, or GitHub, the fastest way to test whether cross-tool search helps is to try a search that you know crosses tools. Something your team discussed in Slack but resolved in Jira. If you cannot find it in Document360, that is the gap.
